What Cognitive Offloading Is
Cognitive Offloading is a phenomenon widely studied in occupational psychology since the early 1900s. It refers to the act of delegating cognitive tasks to external aids in order to reduce mental load and support the effectiveness of cognitive processes.
This phenomenon has always existed, and in a pre-technological world it was associated with practices that led people to “think with the body”. This is the case when we use our fingers to count or do a quick calculation. Then we began using increasingly advanced tools such as notebooks, calculators, and smartphones to extend memory and problem-solving abilities.
Today, Artificial Intelligence significantly amplifies this process, going as far as carrying out cognitive processes such as active forecasting, which are more complex than memorization and analysis.
AI and “Good” vs. “Bad” Cognitive Offloading
In itself, Cognitive Offloading is neither good nor bad.
We live in an era in which cognitive load has been a common experience for several years—both professionally and in our private lives.
The good news is that this has led us to develop strategies and tools to manage it with varying degrees of effectiveness. Who hasn’t missed a deadline for paying some administrative fee or filing?!
The outcome of delegating cognitive tasks to external aids can be successful until the very use of those external aids creates additional cognitive workload, or distances us from contributing to and monitoring the task we delegated.
So, the use of Artificial Intelligence does nothing but amplify a phenomenon that has already taken on positive or negative connotations depending on how we have—more or less consciously—structured the delegation of cognitive tasks. This aspect is crucial for understanding Human–AI interaction.
The results of the most recent research on the use of AI have highlighted advantages and disadvantages.
Good Cognitive Offloading occurs when a person actively manages information, that is, when they use AI to:
- optimize their cognitive resources: delegate information retrieval and repetitive tasks to AI in order to free up “cognitive capacity” to devote to complex or new activities
- reduce mental “clutter”: externalize memory to reduce the stress of having to remember details, quantities of data, or past work
- create a resilient cognitive backup: build a “certified” knowledge base that guides the behavior of Artificial Intelligence, monitoring the outcomes of those behaviors and retaining responsibility for them, in line with the “Human in the loop” paradigm
Bad Cognitive Offloading occurs when a person integrates it into their work without conscious reflection on their work strategy, that is, when they use AI for:
- metacognitive laziness: using AI to avoid “difficulties,” save time, and reduce the cognitive effort that is essential for understanding what one is dealing with, as well as for long-term learning and memory formation—risking a superficial treatment of complex topics.
- uncritical reliance: passively accepting AI’s outputs without verification, often mistaking the fluency of AI’s language for an illusion of competence (see our article on the phenomenon of AI workslop)
- delegation of beliefs: this happens when one delegates to AI the processes of forming and maintaining one’s own convictions. AI’s natural language can subtly steer opinion formation without the user being fully aware of it, leading to a potential homogenization of thought.
- excessive trust in AI’s capabilities: this is often the result of limited knowledge of the technology and how it works, which leads people not to recognize biases or to question the premises behind the suggestions they receive.
Getting the Best Out of Using Artificial Intelligence
The evidence emerging from research and the projects we have carried out suggests that there is an effective way to help people get the best out of using Artificial Intelligence at work.
Adopting AI in a company is not only a technology issue, but a deeply cognitive and organizational matter. Without adequate support, people tend to rely uncritically on Artificial Intelligence, using it quickly and intuitively but with little critical thinking, with the risk of bias, errors, and excessive dependence—ultimately favoring short-term approaches and lacking a more strategic, transformative vision.
To unlock the great potential of using AI in professional contexts, it is necessary to support people in becoming aware of their own approaches and in developing specific strategies consistent with their work and organizational responsibilities.
In this sense, an end-to-end journey like the one proposed by base 9 is strategic.
Through our AI Based Challenge© platform, we track and analyze individuals’ AI usage strategies, making them visible in their most effective aspects as well as in their dysfunctions relative to work objectives.
We then work through targeted training labs designed to strengthen analytical thinking, evaluative creativity, and conscious use, in which participants go on to build a RAG Chatbot as an operational prototype, aligned with real work processes and their organizational context.
This approach not only increases effectiveness and productivity, but also builds informed trust, transparency, and autonomy, turning AI into a true human-centered cognitive ally.
